1. Introduction
This PAIA Manual has been prepared in terms of the Promotion of Access to Information Act, 2000 (Act 2 of 2000) (“PAIA”) to enable members of the public to access records held by Byte4Byte (Pty) Ltd (“Byte4Byte” or “the Company”).
Byte4Byte is committed to transparency and accountability in all its operations, while protecting personal and confidential information in line with POPIA.

3. Description of Records Held
Byte4Byte holds records in the following categories:
- Corporate Records – Company registration, tax records, financial statements, contracts.
- Personnel Records – Employee details, contracts, payroll, leave records.
- Client Records – Proposals, contracts, invoices, project files, marketing data.
- Supplier Records – Contracts, invoices, quotations.
- Marketing & Website Records – Leads, campaigns, analytics, cookies data.
- Other Operational Records – Internal policies, standard operating procedures, correspondence.
Records may be held in:
- Electronic format (emails, cloud storage, CRM, project management tools)
- Paper format (contracts, invoices, signed documents)
4. Request Procedures
Anyone wishing to access records must submit a written request to the Information Officer.
Requirements of a request:
- Full name and contact details of the requester.
- Proof of capacity to act on behalf of another person (if applicable).
- Particular description of the record(s) requested.
- Form of access required (e.g., inspection, electronic copy, printed copy).
- Any fees required for processing (see Section 5).
Response time: Byte4Byte will respond within 30 days as per PAIA Section 53(1).
5. Fees
- A request is free unless copying or extensive processing is required.
- Fees may include:
- Photocopying or printing costs
- Postage or courier fees
- Searching and preparation fees (if excessive)
- A detailed fee schedule will be provided upon request.
6. Grounds for Refusal
Access may be refused in certain circumstances, including where:
- Disclosure would violate the privacy or confidentiality rights of a third party.
- Information is legally privileged.
- Disclosure would compromise commercial information or intellectual property.
- Disclosure is prohibited by law.
Exemptions are applied in line with PAIA Sections 46–49.
7. Appeals
If a request is refused, partially or fully, the requester may:
- Submit an internal appeal to the Information Officer within 30 days.
- Lodge an external appeal with the South African Information Regulator.
