Introduction<\/strong><\/p>\n\n\n\n<p>This PAIA Manual has been prepared in terms of the\u00a0<strong>Promotion of Access to Information Act, 2000 (Act 2 of 2000)<\/strong>\u00a0(\u201cPAIA\u201d) to enable members of the public to access records held by Byte4Byte (Pty) Ltd  (\u201cByte4Byte\u201d or \u201cthe Company\u201d).<\/p>\n\n\n\n<p>Byte4Byte is committed to transparency and accountability in all its operations, while protecting personal and confidential information in line with\u00a0<strong>POPIA<\/strong>.<\/p>\n\n\n\n<p class=\"has-heading-color-color has-text-color has-link-color wp-elements-7bf4cd3c379e69492c1eedb27f0d8cfe\"><strong>2. Description of Records Held<\/strong><\/p>\n\n\n\n<p>Byte4Byte holds records in the following categories:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Corporate Records<\/strong>\u00a0\u2013 Company registration, tax records, financial statements, contracts.<\/li>\n\n\n\n<li><strong>Personnel Records<\/strong>\u00a0\u2013 Employee details, contracts, payroll, leave records.<\/li>\n\n\n\n<li><strong>Client Records<\/strong>\u00a0\u2013 Proposals, contracts, invoices, project files, marketing data.<\/li>\n\n\n\n<li><strong>Supplier Records<\/strong>\u00a0\u2013 Contracts, invoices, quotations.<\/li>\n\n\n\n<li><strong>Marketing &amp; Website Records<\/strong>\u00a0\u2013 Leads, campaigns, analytics, cookies data.<\/li>\n\n\n\n<li><strong>Other Operational Records<\/strong>\u00a0\u2013 Internal policies, standard operating procedures, correspondence.<\/li>\n<\/ul>\n\n\n\n<p>Records may be held in:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Electronic format (emails, cloud storage, CRM, project management tools)<\/li>\n\n\n\n<li>Paper format (contracts, invoices, signed documents)<\/li>\n<\/ul>\n\n\n\n<p class=\"has-heading-color-color has-text-color has-link-color wp-elements-ea4824a27ff6b4556e7700200474ffd7\"><strong>4. Request Procedures<\/strong><\/p>\n\n\n\n<p>Anyone wishing to access records must submit a written request to the Information Officer.<\/p>\n\n\n\n<p><strong>Requirements of a request:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Full name and contact details of the requester.<\/li>\n\n\n\n<li>Proof of capacity to act on behalf of another person (if applicable).<\/li>\n\n\n\n<li>Particular description of the record(s) requested.<\/li>\n\n\n\n<li>Form of access required (e.g., inspection, electronic copy, printed copy).<\/li>\n\n\n\n<li>Any fees required for processing (see Section 5).<\/li>\n<\/ul>\n\n\n\n<p><strong>Response time:<\/strong>\u00a0Byte4Byte will respond within\u00a0<strong>30 days<\/strong>\u00a0as per PAIA Section 53(1).<\/p>\n\n\n\n<p class=\"has-heading-color-color has-text-color has-link-color wp-elements-f8494c63d232e48736da72e4e78f8dd0\"><strong>5. Fees<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>A request is\u00a0<strong>free<\/strong>\u00a0unless copying or extensive processing is required.<\/li>\n\n\n\n<li>Fees may include:\n<ul class=\"wp-block-list\">\n<li>Photocopying or printing costs<\/li>\n\n\n\n<li>Postage or courier fees<\/li>\n\n\n\n<li>Searching and preparation fees (if excessive)<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>A detailed fee schedule will be provided upon request.<\/li>\n<\/ul>\n\n\n\n<p class=\"has-heading-color-color has-text-color has-link-color wp-elements-fe656232dc26ac0add9233edf1eb9449\"><strong>6. Grounds for Refusal<\/strong><\/p>\n\n\n\n<p>Access may be refused in certain circumstances, including where:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Disclosure would violate the privacy or confidentiality rights of a third party.<\/li>\n\n\n\n<li>Information is legally privileged.<\/li>\n\n\n\n<li>Disclosure would compromise commercial information or intellectual property.<\/li>\n\n\n\n<li>Disclosure is prohibited by law.<\/li>\n<\/ul>\n\n\n\n<p>Exemptions are applied in line with PAIA Sections 46\u201349.<\/p>\n\n\n\n<p class=\"has-heading-color-color has-text-color has-link-color wp-elements-c49c394aa3d5d30b53d666bb39920c4c\"><strong>7. Appeals<\/strong><\/p>\n\n\n\n<p>If a request is refused, partially or fully, the requester may:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Submit an\u00a0<strong>internal appeal<\/strong>\u00a0to the Information Officer within\u00a0<strong>30 days<\/strong>.<\/li>\n\n\n\n<li>Lodge an\u00a0<strong>external appeal<\/strong>\u00a0with the\u00a0<strong>South African Information Regulator<\/strong>.<\/li>\n<\/ul>\n\n\n\n<p class=\"has-heading-color-color has-text-color has-link-color wp-elements-fae7e27888419d12588acd9db3c91b66\"><strong>8.
